Executive Assistant
Purpose of the Role
Provide comprehensive support to the Managing Director and ensure the smooth execution of their daily agenda.
Maintain complete oversight of priorities, calendar management, and communications while coordinating key projects and meetings.
Contribute to the effective operation of company leadership by taking over administrative and operational responsibilities, creating a stable and reliable environment that enables the Managing Director to focus on strategic decision-making.
Responsibilities

Proactively manage and coordinate the Managing Director’s calendar, schedule meetings, prioritize requests, and resolve scheduling conflicts.

Organize all aspects of business travel, including flights, accommodation, itineraries, reservations, and expense reporting.

Handle routine and confidential correspondence, screen phone calls, and serve as the first point of contact for key partners and clients.

Track tasks and deadlines across teams and ensure follow-up on action items on behalf of the Managing Director.

Provide occasional support with the Managing Director’s personal matters to maximize their time efficiency.
Job Requirements

At least 2–3 years of experience as an Executive Assistant, Personal Assistant to senior management, or in a high-level administrative support role.

Excellent knowledge of MS Office (PowerPoint for visually appealing presentations, Excel for reporting and analysis, Outlook).

Native-level Czech and advanced English (C1) for daily verbal and written communication with international partners.

Hands-on experience in organizing business travel, managing executive calendars, and preparing materials for management.

Absolute discretion, a high level of professional ethics, and reliability when handling confidential information.

Highly structured and analytical thinking, combined with exceptional organizational skills and great attention to detail.

Ability to anticipate needs, work independently under pressure, and adapt quickly to changing priorities.

Excellent interpersonal skills, diplomacy, and confidence when communicating with both internal and external stakeholders.
